Creating Your Wedding Guest List

Congratulations on your engagement! Now that you’re diving into planning, one of the biggest tasks awaits—your guest list. Your guest list impacts nearly every aspect of your wedding, from the venue size to your budget. It’s no surprise couples often find this step overwhelming. But don’t stress! This guide will walk you through how to determine your wedding guest list while staying true to your vision and priorities.


Start with Your Vision

Before you list names, decide on your wedding style. Are you dreaming of an intimate gathering or a grand celebration? Knowing this helps frame your guest list. A cozy backyard wedding might mean fewer guests, while a ballroom event might allow for a larger list.

Visualize your perfect day and note how it feels. Use this as your guiding principle when making decisions.


Define Your Budget and Venue Capacity

Your budget and venue capacity set the foundation for your guest list. Each guest adds to costs like catering, seating, and invitations. Be realistic about what you can afford.

For example, if your venue seats 100, start with a list of 80-90 people to allow flexibility for late additions.

Allocate 40% of the list for you and your partner, 30% for each family, and 10% for friends. Adjust as needed based on relationships.


Categorize Guests into Tiers

Organize potential guests into tiers:

  1. Must-Haves: Immediate family and closest friends.
  2. Would-Be-Nice: Extended family, close colleagues, and old friends.
  3. Optional: Acquaintances, distant relatives, or work associates.

Focus on the first tier initially. If space allows, include people from the second and third tiers.

Your guest list should reflect the people who bring joy and meaning to your special day


Involve Both Families

Discuss your guest list with your families early in the process. Clarify expectations and determine how much input they’ll have. For instance, are your parents contributing financially? If so, they may want a say in the guest list.

Set boundaries. If a suggested guest doesn’t feel right, explain your reasoning kindly but firmly.


Address “Plus-Ones” and Children

Be clear about whether you’re including plus-ones or children. These decisions significantly impact your guest count. For example, limiting plus-ones to those in long-term relationships can free up space for other guests.

Communicate your choices about plus-ones and children early to avoid misunderstandings.


Handle Tough Decisions

Some decisions will be tricky. Should you invite a colleague? What about that cousin you haven’t spoken to in years? Reflect on your priorities and the kind of atmosphere you want.

If you’re unsure, ask yourself:

  • Will this person bring positivity to your day?
  • Do you envision celebrating without them?
  • Would you take them out to an expensive dinner at a fancy restaurant? Because that’s essentially what you’re doing.

Trust your instincts. It’s okay to prioritize your happiness over obligation.


Send Invitations Thoughtfully

Once you finalize the list, send invitations thoughtfully. Use a system to track RSVPs, such as a spreadsheet or an app. This ensures you have an accurate headcount and can accommodate any last-minute changes.
